Emergency Medical Services Run Data Solutions

4765.06 of Ohio Revised Code
This code states that “The state board of emergency medical services shall establish an emergency medical services independence reporting system for the collection of information regarding the delivery of emergency medical services in this state and the frequency at which the services are provided.  All emergency medical service organizations shall submit to the board any information that the board determines is necessary for maintaining the incidence reporting system.” (10/31/01)
As of 1/1/2002 ALL EMS providers must report runs to ODPS.

Ohio EMS Run Reporting System

As an extension of the Ohio Safety & Injury Surveillance System project, TSASS will provide data capture and conversion services to EMS providers in Ohio as they begin to report EMS runs to the Ohio Department of Public Safety.  TSASS accepts data from numerous software applications, as well as providing data entry from approved run sheets.   TSASS will process the data by converting data codes from local software to approved ODPS codes and submit the data directly to ODPS.  Furthermore, TSASS will provide agencies with aggregate reports for the agency and region.

Data Collection

TSASS can import a data file from your existing system, presuming that it gathers the proper data, regardless of which software vendor you use.  If your current software doesn’t support all the fields required by the State of Ohio, TSASS can provide you with input options customized to your agencies needs using the following technologies:

Ø  Simple PC data entry forms using MS Access for quick, easy data entry

Ø  Industrial Strength Data Storage Applications using Borland Database Engine or Oracle

Ø  Simple, online Hypertext response forms

All developed forms are based around the mandatory ODPS fields.  TSASS collects additional fields where available.

TSASS will also assist with data capture by developing easy to use paper forms for use in the field.  We then provide data entry services so you don’t have to waste manpower having your paramedics keying data.  As Optical Character Recognition establishes, TSASS will help make the most of this promising technology which allows us to extract data directly from your paper forms via scanning.

Data Processing

Upon receiving you data, TSASS runs a variety of data validation scripts to clean up your data and flag incorrect or inconsistent data.  In depth error reports are generated which allow you to easily find and correct erroneous data.  Our personnel convert your local code values to the required ODPS values, validate the files, and submits all qualifying records directly to ODPS.

Data Reporting & Analysis

TSASS has a growing library of standard  reports.  Reports are generated for each data provider, and are available on-line through a secure (username/password) site.  Some of the many services we offer are:

ØGraphical Reports– Charts and graphs that give a relational view of selected fields.

  ØData Feedback Files– Upon request, TSASS can create data files which can be used for local analysis or import files for various vendor software (Firehouse, Cales).

  ØData Linkage– Where your local hospital is an OSISS participant and both parties agree to linking EMS Runs with Hospital Discharge Data, we will provide a group of reports for both the hospital and EMS service. These linked data reports are valuable to patient care professionals.

  ØCustom Reports– Upon request, TSASS will develop reports highlighting certain data, specifically for an agency.

  ØOnline Access– Access to your data anytime and anywhere through the internet using password secured access.

  ØData Mapping- TSASS will locate where you are making your runs or where certain types of injuries are occurring, and produce a set of maps showing run distribution by type of run, chief complaint, response time distribution, etc.

  ØWeb Hosting- TSASS will perform Ad Hoc analysis of data via the internet, upload data electronically, or download your quarterly reports anytime and anywhere!
